This multifaceted role serves as the central point of contact for the office, blending front-of-house reception management with executive personal assistant support for the senior leadership team. The successful candidate will maintain a professional office environment, streamline administrative processes, and ensure seamless daily operations. The working hours for this full-time position are standard office hours, requiring a reliable professional who thrives in a fast-paced agency setting. Key Responsibilities Manage the reception environment, ensuring a welcoming atmosphere while greeting clients and corporate visitors. Oversee all incoming and outgoing telephonic correspondence, managing queries efficiently. Coordinate domestic and international travel logistics, including flights, accommodation, and detailed itineraries for executives. Provide comprehensive diary management and scheduling support for the CEO and Managing Directors. Maintain physical and digital filing structures for the executive team to ensure quick data retrieval. Supervise daily office operations, including the maintenance of IT equipment, printers, internet connectivity, and office utilities. Act as the primary liaison for vendors, managing couriers, post, stationery orders, and corporate apparel procurement. Organise meeting room setups, coordinate catering requirements, and compile necessary business documentation, including Board Packs. Support internal communications, assist with weekly presentations, and collaborate with internal committees to execute corporate staff events and year-end functions. Requirements A relevant tertiary qualification or diploma in Office Management, Secretarial Studies, or Business Administration. A minimum of 2 years of professional experience operating as a Personal Assistant or Executive Assistant. Proven capability in managing office environments and administrative workflows. Strong organisational skills with a deadline-driven mindset. Exceptional interpersonal skills with a warm, welcoming, and professional demeanor. Ability to multitask effectively and maintain composure under corporate pressure. Required Software Skills Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
