We are a rapidly growing Canada-based construction and development company specializing in pre-engineered garden suites, laneway homes, and accessory dwelling units. We deliver turnkey, fixed-price projects end to end — from feasibility and permits through foundation, assembly, and final handover — often completing builds in under 60 days.
Our model is built on price transparency and budget discipline: our price is our price, and our projects come in on time and on budget. As we scale across the Greater Toronto Area, we are building out the back-office function that keeps every project accurate, organized, and profitable.
About the Role
~1 min readThis role exists to protect the financial accuracy our fixed-price model depends on. As project volume grows, payment tracking, invoicing, and bookkeeping have outgrown what leadership can manage directly — and small errors in a fixed-price build come straight out of margin.
We are hiring a detail-driven bookkeeping and administrative partner to own day-to-day payment tracking, invoicing, and QuickBooks Online bookkeeping, along with the scheduling and file organization that keep projects moving. The goal is straightforward: keep our books clean and current so we always know where each project stands, and free leadership to focus on building.
You will start part-time, with genuine room to grow in hours and responsibility as you prove you can carry the workload.
Responsibilities
~1 min readBookkeeping & Financial Tracking
- →Maintain day-to-day bookkeeping in QuickBooks Online
- →Record and track payments, invoices, and receipts with a high degree of accuracy
- →Reconcile accounts and flag discrepancies or overdue items for review
- →Support accounts payable by tracking vendor and supplier payments
Vendor & Client Coordination
- →Follow up with vendors and clients by email using company-provided scripts
- →Track outstanding items and keep communication records organized
Project & Schedule Support
- →Maintain project tracking in monday.com
- →Manage scheduling and calendar invites in Google Calendar
- →Coordinate meetings and keep project timelines current
Document & File Management
- →Organize and maintain files and folders in Dropbox
- →Keep digital records clean, consistent, and easy to retrieve
Requirements
~1 min read- 3–5 years of bookkeeping and administrative experience
- High-level proficiency with QuickBooks Online
- Strong proficiency with Gmail and Microsoft Office
- Exceptional attention to detail and accuracy
- Reliable, self-directed work style with minimal supervision
- Strong written and spoken English
- Able to provide 2–3 hours of weekly overlap with North American (Eastern) hours
- Experience with monday.com (or a comparable project-management tool)
- Experience with Dropbox or similar file-management systems
- Background in construction, real estate, or another project-based business
- Prior experience supporting North American clients
