The City of Topeka is seeking a highly organized and dependable professional to serve as an Executive Assistant II to the Utilities Director. This position provides high level administrative support to an executive-level leader and plays a critical role in keeping the department organized and operating effectively.
The Executive Assistant II will work closely with staff on scheduling, records management, communications, and special projects. They serve as a trusted liaison for the Utilities Director, exercising sound judgment and a high degree of discretion when handling sensitive and confidential information.
The successful incumbent must possess exceptional organizational skills and the ability to manage multiple priorities, anticipate needs, meet deadlines, and effectively coordinate a wide range of administrative activities in a fast-paced, dynamic environment.
Responsibilities
~1 min read- →Provide direct administrative support to the Utilities Director, including managing calendars, scheduling appointments and preparing correspondence.
- →Screen calls, respond to inquiries, and route information appropriately.
- →Prepare agendas, attend meetings, and take minutes as required.
- →Coordinate, monitor and maintain departmental records, including budgets, contracts, reports, training records and compliance documents.
- Is highly organized, with the ability to plan, coordinate and prioritize multiple tasks.
- Has the ability to exercise sound judgment and maintain confidentiality.
- Is proactive and detail-oriented.
- Has excellent communication skills.
Requirements
~1 min read- Associate degree in Office Administration, Business Administration or a related field is preferred.
- With an Associate degree, two or more years of clerical and/or office management experience is required.
- Without a degree, a high school diploma or its equivalent is required with four or more years of clerical and/or office management experience.
- Demonstrated experience providing executive-level administrative support and/or experience in the public sector is preferred.
