Job Summary:



  • Welcome visitors and assist or direct them to the appropriate employee
  • Answer and route incoming phone calls
  • Perform clerical and administrative duties for the Executive Office
  • Advise members of services available through the Cooperative
  • Assist with filing, photocopying, collating, and other general office support tasks
  • Maintain corporate mail sorting, lobby, and break room areas
  • Support the Communications Specialist
  • Help create a welcoming, professional, and service oriented experience for members, guests, and employees
  • Attend and participate in safety meetings as required
  • Perform other duties as requested or required from time to time


Job Requirements:



  • Minimum high school diploma or GED required
  • Additional emphasis in secretarial science or general business preferred, but not required
  • Minimum one year of practical application of secretarial or general business skills desired
  • Must demonstrate a working knowledge of secretarial, clerical, and general office procedures and general office equipment
  • Must possess demonstrated proficiency of keyboarding skills, computer skills, and social media platforms
  • Must possess professionalism, excellent customer service, verbal and written communication skills
  • Must be able to manage multiple projects simultaneously
  • Must have the ability to carry out the duties and responsibilities of this position in conformity with established policies and procedures
  • Must be certified in basic first aid and CPR in accordance with Cooperative policies and procedures

Position Title:      Administrative Assistant
Department:        Member/Staff Services

Reports to:            Executive Vice-President of Member & Community Engagement

FLSA Status:        Non-Exempt


I. Principal Objectives of the Position
   The Receptionist/Secretary is responsible for coordinating the flow of information and other support services         between the members and other Cooperative departments. Individual will be the key person for ensuring the           efficient and reliable flow of information for personnel as it relates to departmental and Cooperative objectives.


II. Essential Duties and Job Responsibilities
A. Assists visitors entering the Cooperative’s headquarters building and personally assists or directs them to another Cooperative employee for assistance.
B. Assists in answering telephone calls into the Cooperative’s headquarters building and distributes them appropriately.
C. Performs clerical and administrative duties for the Executive Office.
D. Advises members of services available through the Cooperative.
E. Performs other clerical duties such as filing, photocopying, and collating.
F. Responsible for maintaining corporate mail sorting, lobby and break room areas of the Cooperative’s headquarters building.
G. Supports the Communications Specialist.
H. Performs other such duties as requested or required from time to time.
I. Attends and participates in safety meetings scheduled by the Cooperative as required.

III. Skills and Abilities
A. Must demonstrate a good working knowledge of secretarial, clerical, and general office procedures and general office equipment.
B. Must possess excellent keyboarding skills.
C. Must show demonstrated proficiency in English.
D. Must possess demonstrated proficiency of computer skills and social media platforms.
E. Must possess professionalism, excellent customer service, verbal and written communication skills.
F. Must have the ability to carry out the duties and responsibilities of this position in conformity with established policies and procedures.
G. Must be accountable for the efficient performance of these responsibilities.
H. Must be able to manage multiple projects simultaneously.
I. Must be able to perform the essential duties of the positions with or without reasonable accommodation.
J. Must be certified in basic first aid and CPR in accordance with Cooperative policies and procedures.


IV. Physical Requirements
Visual acuity and manual dexterity are required, as well as the ability to listen and communicate with peoples both within and outside Upper Cumberland Electric Membership Cooperation. Constantly sits or stands, walks, bends, stoops, squats and lifts up to twenty-five pounds. Repetitive motions with hands and fingers are required. Must be able to read, write and do math. A high level of accuracy and attention to detail is required. Must be able to work under stress and maintain confidentiality.


V. Working Conditions
Primarily works in a climate controlled office; may occasionally be exposed to temperature variances. Generally works eight hours a day five days a week. Responds immediately to 24 hour call-out and works extra hours as required, including weekends, nights and holidays. Drives throughout the cooperative’s service area and beyond and is sometimes required to travel overnight and outside the cooperative’s service area.


VI. Knowledge
A. Must possess working knowledge of Cooperative processes, procedures and operations.
B. Must demonstrate understanding of office and other administrative procedures.
C. Must have working knowledge of office equipment and related computer software applications.
D. Must possess basic working knowledge of switchboard operation and accounting.


VII. Internal Contacts
Maintains on-going communications with the Assistant General Manager/Director of Member/Staff Services, and other members of the Member/Staff Services department, as well as other Cooperative personnel, to ensure appropriate personnel are informed of relevant activities, events and issues.


VIII. External Contacts
Communicate with the following effectively and in a professional manner:
Cooperative members,
Cooperative employees,
Members of the general public, and
Computer hardware and software technical support.


IX. Minimum Qualifications
Education
Minimum of high school diploma or GED equivalent is required. Additional emphasis in secretarial science or general business is preferred, but not required.


Experience
Minimum of one (1) year of practical application of secretarial or general business skills in a related organization is desired.
