We are currently seeking a Facilities Coordinator to join our dynamic team in Zagreb, Croatia!
This role plays a crucial role in ensuring the smooth operation of our office space and facilities. Create a functional and convenient workplace for your colleagues. The role is responsible for managing all aspects of our office environment, including facilities maintenance, vendor management, and office supplies inventory. Additionally, it oversees administrative tasks and provides support to various departments as needed.
What kind of work will you be doing?
- Managing servicing schedules for different appliances and equipment
- Check all devices within the organization as needed, e.g., alarms or security cameras.
- Arranging for systems, such as heating and air conditioning, to be looked after and operated appropriately.
- Assisting with projects affecting changes to the building or extending the workplace
- Maintaining and managing stock of office and kitchen supplies, depending on the size of the facility
- Managing the office grounds, including parking space allocation
- Build and maintain relationships with landlords, property management, and all facility related providers, ensuring any facility issues are addressed promptly at all locations representing Vertiv needs.
- Book onsite meeting rooms and hospitality as per client requests.
- Conduct daily meeting room and office checks, ensure meeting rooms are prepared and provide a hospitality service.
- Manage company vehicles, including negotiating lease arrangements, insurance and maintenance schedules.
- Proactively identify opportunities to improve office efficiency and cost effectiveness.
- Maintain accurate records of facility related expenses and process invoices using the in-house system.
- Assist in the development and implementation of office policies and procedures related to facilities management.
- Oversee asset management procedures, work closely with relevant teams to plan and execute purchases and keep inventory up to date.
- Provide support to colleagues from different departments, offering assistance and solutions to meet their needs related to office and facility management.
- Manage the company fleet, ensuring the proper maintenance and utilization of company vehicles.
- Provide regular reports on facility operations, expenses, and projects to management.
Qualifications:
- High school diploma
- 1-3 years of experience
- English minimum B2 level
- Strong written and oral skills
- Multi-tasking in a fast-paced environment
- Knowledge of Microsoft Office programs
- Strong problem-solving skills.
