Administration & Office SupportOffice Specialist

Pitcairn’s innovative Shared Single-Family Office® model provides unparalleled service to wealthy families and other family offices. Since the firm’s founding in 1923, Pitcairn has helped ultra-high-net-worth families and its members navigate the individual, interpersonal, and institutional challenges that come with wealth. We understand multigenerational family wealth in a way that few other wealth advisory firms do. Our comprehensive family office services include investment advisory, tax, trust and estate planning, risk management, philanthropy, household-level financial services as well as family education and family governance support.

THE ROLE

The Family Office Specialist is responsible for managing recurring accounting activities for assigned families and entities, applying sound judgment to routine accounting matters, and identifying and escalating issues that require additional guidance. The role prepares financial information and supporting documentation across individuals, trusts, and entities while maintaining accurate, timely, and well-organized accounting records.

WHAT YOU WILL DO:

  • Own the full month-end close cycle for assigned work, completing activities accurately and on time with appropriate supporting documentation.
  • Prepare financial statements for individuals, trusts, and entities.
  • Perform trust accounting and multi-entity accounting across limited partnerships (LPs) and limited liability companies (LLCs).
  • Prepare tax support schedules and year-end workpapers for external providers.
  • Process capital calls and distributions and monitor liquidity for assigned entities.

WHAT WE ARE LOOKING FOR:

  • Bachelor's degree in accounting or equivalent experience.
  • Strong accounting foundation with the ability to understand the purpose behind accounting processes, not simply complete assigned tasks.
  • Ability to independently manage recurring accounting responsibilities with accuracy, organization, and attention to deadlines.
  • Sound judgment when addressing routine accounting matters, with the ability to recognize when an issue should be escalated.
  • Experience preparing financial statements and supporting accounting across individuals, trusts, and multiple types of entities.
  • Ability to prepare well-organized supporting documentation, tax schedules, and year-end workpapers.
  • Experience preparing annual 1099/1096 filings.
  • Strong organizational skills with the ability to manage multiple recurring priorities independently.
  • Clear, proactive communication and a collaborative approach to working with team members.

ATTRIBUTES WE VALUE:

  • Demonstrated ownership of recurring work, proactively managing responsibilities through completion without prompting.
  • Ability to multi-task, identify priority projects and shift attention accordingly.
  • Sound judgment in resolving routine issues and recognizing when matters require timely escalation.
  • Strong organizational skills and the ability to manage a recurring workload independently.
  • Clear, proactive communication and effective collaboration with the team.
