Our client is a full service, Structured Cabling / Systems / Network Integration company that specializes in providing complete technology solutions for commercial offices and data centers.
They are seeking a Document Controller to manage, and safeguard all documentation for Tier III / Tier IV Data Centre projects, ensuring full compliance with data centre standards, redundancy requirements, security policies, commissioning protocols, and audit readiness throughout design, construction, commissioning, and handover phases.
Responsibilities
~1 min read- Establish and maintain a high‑compliance document control system suitable for mission‑critical environments.
- Control and manage all Data Centre Telecom / ICT / ELV documentation including:
- Network architecture diagrams.
- Structured cabling layouts (copper & fiber).
- Fiber routing, splice schedules, and core allocation.
- Rack layouts, elevation drawings, and labeling schedules.
- ELV security system layouts (CCTV, ACS, IDS).
- Method statements and risk assessments.
- Technical submittals and material approvals.
- FAT, SAT, IST, and commissioning reports.
- As‑built drawings.
- O&M manuals and asset documentation.
- Ensure strict revision control, traceability, and document status visibility, critical for redundancy validation.
- Maintain documentation supporting:
- Concurrently Maintainable (Tier III) requirements.
- Fault Tolerant (Tier IV) requirements.
- Support documentation for:
- Dual power paths.
- Network redundancy (A/B paths).
- Failover testing.
- Maintenance bypass scenarios.
- Ensure document completeness for certification reviews, client technical audits, and operator reviews.
- Control and track documentation related to:
- Factory Acceptance Tests (FAT).
- Site Acceptance Tests (SAT).
- Integrated Systems Testing (IST).
- Network and fiber testing reports.
- ELV system performance tests.
- Ensure all test records are:
- Properly approved.
- Version‑controlled.
- Easily retrievable for audits and future upgrades.
- Support Operational Readiness and Go‑Live documentation requirements.
- Administer Data Centre documentation via EDMS platforms, such as:
- Aconex.
- Autodesk Construction Cloud.
- Procore.
- SharePoint.
- Ensure:
- Correct metadata and classification.
- Full document history and traceability.
- Structured folders aligned with long‑term operations.
- Maintain audit‑ready document registers for client, operator, and third‑party audits.
- Handle sensitive documents including:
- Network topology diagrams.
- Fiber routes and termination details.
- Security system layouts.
- Enforce compliance with:
- Data Centre security policies.
- Client confidentiality agreements.
- Malaysia PDPA.
- Control access rights and prevent unauthorized disclosure of critical infrastructure documentation.
- Coordinate compilation of final as‑built drawings reflecting:
- Installed network paths.
- Rack locations.
- Labeling and identification schemes.
- Support development of ICT / ELV asset registers for operational use.
- Compile complete handover packages including:
- Approved as‑builts.
- Test & commissioning records.
- O&M manuals.
- Warranty and certification documents.
Ensure documentation is fit for long‑term operations, maintenance, and future expansion.
- Strong understanding of Data Centre ICT & ELV systems, including:
- Structured cabling (TIA‑942 concepts)
- Fiber management and testing
- Network resilience and redundancy
- Security and monitoring systems
- Familiarity with Tier III / Tier IV design principles and documentation requirements.
- Exposure to:
- Uptime Institute‑aligned documentation practices
- Hyperscale or colocation Data Centre environments
Financial institution or government Data Centres
- Proficient in Microsoft Office (Excel for registers and trackers).
- Strong hands‑on experience with EDMS platforms.
- Confident in reading and tracking AutoCAD and PDF drawings.
- Highly structured digital filing and naming discipline.
Requirements
~1 min read- Diploma or Bachelor's Degree in:
- Engineering
- Information Technology
- Business Administration
- Document Control or related field
- Document Control or QA‑QC certification is an advantage.
- ISO 9001 documentation exposure preferred.
- Minimum 3–6 years experience as a Document Controller in:
- Tier III / Tier IV Data Centre projects (strongly preferred)
- Mission‑critical ICT / ELV environments
- Prior experience supporting commissioning and operational handover is highly desirable.
- Extremely detail‑oriented and disciplined.
- High compliance and audit mindset.
- Able to handle large document volumes with zero tolerance for errors.
- Professional, discreet, and security‑conscious.
- Strong written communication in English.
(Bahasa Malaysia is an advantage).
