Location: 401 2nd Ave S, Seattle, WA 98104
Crossbeam Investments, LLP, a Seattle-based property management company is searching for an Administrative Assistant to the Regional Manager to join our team! Crossbeam Investments manages a portfolio of successful commercial and apartment properties located throughout the Puget Sound region.
The Administrative Assistant to the Regional Manager provides high-level administrative, organizational, and operational support to the Regional Manager overseeing a portfolio of five residential communities. This position serves as a key resource in coordinating communications, managing schedules, assisting with property audits, preparing reports and correspondence, and supporting compliance and property management initiatives.
The Administrative Assistant to the Regional Manager’s home base will be at our corporate office in Pioneer Square, downtown Seattle. An ORCA card will be provided. Regular travel to properties is required with potential use of a company vehicle as needed.

Key Responsibilities of the Administrative Assistant:
- Manage and coordinate the Regional Manager's calendar, including meetings, property visits, training seminars, conference calls, and other scheduled activities.
- Serve as a primary administrative support resource by coordinating communications with property managers, vendors, residents, investors, and other stakeholders.
- Draft, edit, and distribute professional correspondence, reports, letters, forms, and email communications on behalf of the Regional Manager.
- Monitor and organize email communications, prioritize urgent matters, and communicate action items and follow-up needs.
- Assist with property site audits by gathering information, reviewing documentation, identifying concerns, and preparing concise summaries and reports for management review.
- Prepare and process invoices, expense reports, vendor documentation, and other administrative paperwork for approval and payment processing.
- Conduct research related to property management operations, including local, state, and federal requirements, regulatory changes, vendor services, purchasing options, and policy updates.
- Organize and maintain electronic and physical filing systems, records, and operational documentation.
- Assist with special projects, investor reporting, operational initiatives, and portfolio-wide administrative tasks.
- Coordinate travel arrangements, meeting logistics, and training registrations as needed.
What the Successful Administrative Assistant will have:
- High school diploma or equivalent required; Associate's Degree in Business Administration or a related field preferred.
- Minimum of 3–5 years of administrative assistant or executive support experience required.
- Experience supporting multiple locations, departments, or managers strongly preferred.
- Experience in residential property management, multifamily housing, or real estate operations preferred.
- Experience with third-party property management and investor reporting is a plus.
- Strong written, verbal, and virtual communication skills, including professional correspondence and Microsoft Teams meetings.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint.
- Excellent attention to detail with a high degree of accuracy.
- Ability to maintain confidential information.
- Valid driver's license and reliable transportation with the ability to travel regularly between assigned properties.
Compensation:
- $28.00 - $30.00 per hour, DOE
