Executive Assistant to support our leadership team in a fast-paced, early-stage
startup environment.
As an Executive Assistant at Graphiant, you’ll play a critical role in enabling senior leadership to
focus on strategic initiatives by providing high-level administrative, operational, and project
support. You will serve as a trusted partner who anticipates needs, manages competing priorities,
and represents the company with professionalism, discretion, and urgency.

The Team:
As part of the Graphiant operations and leadership support team, you’ll work closely with executives and cross-functional teams to help drive organizational effectiveness in a rapidly growing startup. You’ll play a key role in supporting day-to-day operations while helping leadership stay focused on scaling the business and delivering innovation to customers.
Responsibilities
- Manage complex executive calendars in a fast-paced startup environment, coordinating high-volume meetings, shifting priorities, and global communications across multiple time zones.
- Coordinate end-to-end executive travel logistics, including multi-city itineraries, accommodations, transportation, and last-minute adjustments to support dynamic business needs.
- Prepare and manage executive communications, presentations, board materials, reports, and confidential documents with a high level of accuracy, professionalism, and discretion.
- Anticipate leadership needs and proactively resolve operational, scheduling, and administrative challenges in a rapidly evolving early-stage company environment.
- Serve as a strategic liaison between executives, employees, customers, investors, partners, and external stakeholders, ensuring clear communication and strong relationship management.
- Support planning and execution of leadership meetings, customer engagements, company offsites, and team-building events for a growing startup organization.
- Partner cross-functionally across departments to drive projects forward, manage timelines, track deliverables, and ensure seamless execution in a high-growth environment.
- Maintain strict confidentiality while handling sensitive company information, personnel matters, and executive operations.
- Help establish and streamline operational processes, administrative workflows, and organizational systems to support scalability and growth in an early-stage startup.
Core Competencies
- Proven experience supporting senior leaders or C-suite executives within fast-paced startup or high-growth environments.
- Exceptional organizational, prioritization, and time-management skills with the ability to manage multiple competing priorities simultaneously.
- Strong written and verbal communication skills with exceptional attention to detail and professionalism.
- High proficiency with productivity and collaboration tools, including Google Workspace, Microsoft Office, calendar management systems, and travel platforms.
- Ability to work independently, think proactively, and adapt quickly within a dynamic and evolving environment.
- Strong problem-solving capabilities, sound judgment, and a high level of discretion and professionalism.
- Collaborative mindset with the ability to build strong cross-functional and external relationships.
Experience
- 5+ years of executive support experience supporting senior executives or leadership teams, preferably within early-stage startups or rapidly scaling organizations.
- 3+ years of experience working in high-growth startup environments where adaptability, ownership, and operational agility are essential.
- Demonstrated experience managing complex scheduling, executive travel coordination, event planning, and day-to-day executive operations.
- Proven ability to collaborate effectively across departments and coordinate with internal and external stakeholders.
- Experience within technology, SaaS, networking, cloud, or enterprise infrastructure companies is strongly preferred.
- Familiarity with project management and collaboration platforms such as Asana, Notion, Trello, Slack, or similar tools preferred.
