Personal AssistantAdministration & Office Support

A family on the San Francisco Peninsula is looking for a resourceful, proactive House Manager / Personal Assistant to keep their home and personal operations running smoothly. The role is roughly 80% household management and 20% personal assistant support.

The right person is organized, tech-savvy, and a clear communicator who enjoys solving problems. They're comfortable working independently and just as comfortable taking direction.

A family of four with two teenagers. You'll report primarily to one of the Principals, who works from home and has a background in design and nonprofit strategy, with a strong eye for detail and quality. The other Principal works in the investment space.

This is a chance to join a warm, down-to-earth family for the long term. They value thoughtful systems, quality, and work done well.

Responsibilities

~1 min read
  • Manage day-to-day household operations.
  • Source, vet, and manage vendors and contractors for maintenance and repair projects.
  • Own the preventative maintenance calendar, making sure recurring service, inspections, warranties, seasonal work, and repairs are scheduled and completed on time.
  • Serve as the main point of contact for household vendors, handling access, scheduling, bids, work quality, and follow-up.
  • Keep an organized vendor database with contacts, service history, contracts, warranties, pricing, and notes.
  • Run local errands as needed.
  • Support sourcing and purchasing of furniture, lighting, art, and accessories with guidance from the Design Principal.
  • Track orders from selection through delivery and installation. Inspect every piece on arrival for damage, finish, dimensions, color, and accuracy against the approved order.
  • Coordinate white-glove delivery, art handling, framing, assembly, installation, and placement so the finished result meets the family's standards.

The family has purchased the lot next to their home and is starting a two-year project to build a single-story gym and guesthouse.

  • Act as the liaison between the Principals and the contractor, keeping the timeline on track and the contractor accountable.
  • Help with home organization projects, including closets, storage, digital files, and other household systems.
  • Take on personal and household projects as they come up.
  • Build and maintain household workflows, recurring task systems, and project trackers in Asana and Notion.
  • Keep digital records and dashboards current so the Principals can easily see decisions needed, work in progress, and completed work.
  • Plan and manage personal events, from small gatherings to larger parties.

Requirements

~1 min read
  • Bachelor's degree, ideally in interior design, business, hospitality, supply chain, construction management, or a related field.
  • 5 to 7 years of experience as a House Manager in a high-end private residence.
  • Strong working knowledge of Google Workspace, Asana, and Notion. Experience with Savant, Adobe Illustrator, or SketchUp is a plus.
  • Proactive and resourceful. You anticipate needs, catch issues early, and follow through on solutions.
  • Detail-oriented. You notice the small things, from a missed maintenance item to a damaged piece of furniture, and see them through to resolution.
  • Independent and collaborative. You take direction well, use good judgment on your own, and keep the Principals informed, including a clear end-of-day summary.
  • Hands-on. You're as comfortable managing projects and vendors as you are handling the details yourself. No task is too small if it helps the household run well.
  • A natural systems builder. You enjoy creating processes, managing maintenance calendars, and coordinating multiple vendors at once.
  • A strong vendor manager. You communicate clearly with contractors, hold them accountable, and handle conflicts professionally.
  • Calm and adaptable. You shift easily when priorities change and handle the unexpected without losing sight of the details.
  • Discreet and trustworthy. You understand the importance of privacy and confidentiality in a private home.
  • Career-minded. You see household management as a long-term career and want to build a lasting relationship with one family. Ideally no more than three positions in the past eight years, with at least one lasting four years or longer.
  • Flexible. Regular evenings and weekends aren't expected, but you understand that occasionally checking email, handling an urgent household issue, or shifting your schedule for a vendor or event is part of the job.
  • Hours: Monday to Friday, 10:00 AM to 6:00 PM, with some flexibility
  • Location: 4 days onsite, 1 work-from-home day midweek
  • Compensation: $160,000+ base salary | depending on experience
  • Benefits: Healthcare stipend, access to a retirement plan through Calsavers
  • Time off: 10 days of PTO, 5 sick days, 7 federal holidays
