The Office & Administrative Coordinator will serve as a welcoming face of the company, answer and direct incoming calls, and provide administrative and operational support across multiple departments. This is an excellent opportunity for a highly organized, resourceful, and people-oriented professional who enjoys variety and wants to play a meaningful role in supporting the day-to-day operations and culture of the company. The ideal candidate is someone who can confidently welcome a client at the front desk in the morning, coordinate details for a company event in the afternoon, and then shift gears to research information or support a team project, all while managing our phone lines with professionalism, accuracy and follow-through.

Responsibilities:
  • Welcome clients and guests who call or visit the office with polish, professionalism, and outstanding verbal and written communications skills
  • Capture and verify caller data with speed and accuracy, remembering frequent callers and providing a personable and familiar experience for our customers
  • Provide administrative support to Accounting, Marketing, Customer Service, and other teams as needed.
  • Utilize effective communication and analytical skills, as well as cross-functional collaboration, to achieve satisfactory results for projects.
  • Perform research, reporting, and spreadsheet-related tasks with accuracy and attention to detail.
  • Assist with special projects and shifting priorities across the organization.
  • Takes ownership of assigned tasks by asking the right questions upfront, anticipating information needs, and proactively gathering the details and resources necessary to complete work accurately and effectively.
  • Assist with planning, coordinating, and hosting company events and employee activities.
  • Coordinate meetings, documents, supplies, vendors, and general office needs.
  • Other duties as assigned.  
 
Requirements: 
  • Authorization to work in the U.S.
  • High school diploma or equivalent required, with some college experience preferred
  • 2+ years of administrative, office coordination, receptionist, customer service, or similar experience.
  • Exceptional verbal and written communication skills, with the ability to provide a white-glove level of service to employees, customers, vendors, and guests
  • Strong data entry, research, and organizational skills, with excellent attention to detail and follow-through
  • Self-motivated and proactive, with the ability to take initiative, manage competing priorities effectively
  • Proficient in Microsoft Office, particularly Outlook, Word, and Excel
  • Experience with CRM Systems such as Salesforce, MS Dynamics, or similar.
