Our client is a premier assisted living operator managing approximately 20 locations across Michigan, Ohio, and Pennsylvania. We are dedicated to providing high-quality care for seniors and are currently expanding our Monterrey-based operations hub.
As we scale, we are looking for a highly organized, proactive professional to serve as the central anchor for our Monterrey hub and a vital support mechanism for our executive team. This high-visibility role combines high-level executive support with local office management to ensure our cross-border operations run seamlessly.
Responsibilities

Calendar & Meeting Management: Manage complex calendars for senior executives (CFO, Accounting Manager, and Executive Directors), scheduling cross-border meetings and coordinating across multiple US time zones.

Gatekeeping & Communication: Act as the primary liaison between executive leadership and internal/external stakeholders, managing correspondence, emails, and phone calls with strict confidentiality.

Travel Coordination: Arrange comprehensive domestic and international travel itineraries, accommodations, and logistics for executives and visiting leadership teams.

Hub Operations: Oversee the daily operations of the Monterrey office, ensuring a professional, productive, and fully stocked working environment.

Vendor & Facility Management: Serve as the main point of contact for local building management, IT support, utilities, and office supply vendors.

Event & Culture Coordination: Plan and execute local team events, meetings, and onboarding logistics for new hires entering the Monterrey hub.

Expense & Document Management: Assist with tracking office expenses, processing executive expense reports, and maintaining organized digital and physical filing systems.
Requirements

Experience: 4+ years of experience as an Executive Assistant, Office Manager, or senior administrative role, preferably within an international or US-facing corporate environment.

Language Skills: Bilingual excellence is required. Fluent, native-level written and verbal English and Spanish to seamlessly bridge communication between the US and Mexico teams.

Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace, with a strong aptitude for learning new digital administrative tools.

Soft Skills: Exceptional organizational skills, high emotional intelligence, and the ability to multitask effectively under pressure while maintaining discretion and a poised demeanor.

Location requirement: Ability to work full-time onsite at our Monterrey, Mexico office.
