We are seeking a highly organized, proactive, and detail-oriented Operations Assistant who thrives in a fast-paced environment and takes pride in ensuring projects and processes are executed flawlessly from start to finish.
This is a critical operations role designed for someone who enjoys bringing structure, accountability, and consistency to complex initiatives. The Operations Assistant will work closely with leadership to coordinate programs, manage administrative processes, oversee project execution, and ensure that important initiatives move forward efficiently.
The ideal candidate is highly dependable, organized, and proactive. They do not wait to be told what comes next—they take ownership, follow through, and ensure every detail is completed accurately and on time.
Responsibilities

- Track deliverables, timelines, and action items to ensure consistent progress.
- Maintain project documentation and provide status updates to leadership.
- Ensure all tasks are completed accurately and according to established processes.
- Coordinate logistics for educational programs, community events, and outreach initiatives.
- Assist with scheduling, communications, registration management, and event preparation.
- Ensure materials, venues, resources, and participant information are properly organized and maintained.
- Support post-event follow-up and reporting activities.
- Maintain databases, records, and operational systems with a high degree of accuracy.
- Track communications, program participation, and outreach activities.
- Manage calendars, schedules, and administrative workflows.
- Prepare reports, documents, and presentations as needed.
- Serve as a key point of coordination between leadership, staff, volunteers, and community members.
- Monitor ongoing initiatives and proactively follow up on outstanding items.
- Ensure clear communication and accountability across projects and stakeholders.
- Identify inefficiencies and recommend improvements to operational workflows.
- Anticipate potential issues and take initiative to resolve them before they impact project outcomes.
- Help implement systems and procedures that improve organizational effectiveness.

Requirements

- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Experience managing multiple projects and deadlines simultaneously.
- Proficiency with project management, collaboration, and database systems.
- Strong problem-solving and critical-thinking abilities.
Nice to Have
