A fast-growing hospitality and services business is seeking a highly organized, proactive Virtual Assistant (VA) to support day-to-day operations across multiple business lines. The company currently operates two boutique hotel properties, a dog daycare business with active marketing operations, and is preparing to launch an additional hotel.

This role is critical to ensuring smooth communication, operational consistency, and administrative efficiency across all entities. You will work directly with the owner to streamline workflows, coordinate teams, and build scalable systems.

This is not a passive support role — the ideal candidate is detail-oriented, systems-minded, and capable of operating independently across multiple priorities.

Responsibilities

  • Manage and prioritize inboxes across multiple businesses

  • Maintain and coordinate calendars, meetings, and scheduling

  • Draft and respond to emails on behalf of the owner

  • Track tasks, follow-ups, and deadlines across business units

  • Serve as a central communication hub between property staff and ownership

  • Coordinate schedules and ensure alignment across hotel teams

  • Assist with guest communication workflows and escalation handling

  • Monitor operational issues and ensure timely resolution

  • Support operations across:

    • Boutique hotel properties

    • Dog daycare business

    • New property onboarding

  • Ensure clear communication and task tracking between teams

  • Help standardize processes across all businesses

  • Document workflows and create Standard Operating Procedures (SOPs)

  • Identify inefficiencies and recommend improvements

  • Build systems that reduce dependency on the owner

  • Help implement tools to improve operational consistency

  • Improve internal communication systems across teams

  • Help establish clear expectations, reporting structures, and accountability

  • Assist in onboarding documentation and training materials

  • Support initiatives aimed at reducing staff turnover

  • Prepare weekly reports across all business units

  • Track KPIs such as occupancy, revenue, staffing, and marketing performance

  • Organize data into clear, actionable summaries for the owner

  • Schedule and manage social media content

  • Coordinate with marketing efforts and campaigns

  • Track engagement metrics and assist with reporting

  • Maintain consistency in brand voice and posting schedules

Requirements

  • 3+ years experience as a Virtual Assistant, Operations Coordinator, or similar role

  • Strong organizational and time management skills

  • Excellent written and verbal English communication

  • Ability to manage multiple priorities and businesses simultaneously

  • Experience with calendar and inbox management at an executive level

  • Highly proactive with strong problem-solving abilities

  • Comfortable working independently with minimal oversight
