About the Role
We are a fast-growing AI healthcare technology startup seeking a dedicated and detail-oriented Virtual Assistant to support the CEO. This role focuses on managing meetings, follow-ups, and day-to-day administrative tasks across sales, product, and operations. The ideal candidate is dependable, proactive, and a quick learner who thrives in a fast-paced startup environment.
This is a full-time (40 hours/week) remote role aligned with Pacific Time. Candidates must be based in the Philippines or Latin America.
Key Responsibilities
- Manage and optimize the CEO’s calendar and scheduling across time zones
- Coordinate meetings, prepare agendas, and ensure timely follow-ups
- Track action items and deadlines and follow up with internal teams
- Manage inbox communications and prioritize messages
- Perform general administrative and operational support tasks
- Maintain organized records, notes, and documentation
- Assist with basic research, data entry, and reporting as needed
- Proactively identify gaps and support process improvements
Required Qualifications
- 3+ years of experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant
- Strong organizational and time-management skills
- Excellent written and verbal English communication skills
- High attention to detail and accuracy
- Comfortable working independently and taking ownership
- Tech-savvy and quick to learn new tools
- Reliable internet connection and ability to work 40 hours/week on Pacific Time
Preferred Qualifications
- Experience supporting senior executives or founders
- Familiarity with tools such as Google Workspace, Slack, Zoom, Notion, and CRM systems
What Success Looks Like
- The CEO’s schedule is well-managed with minimal conflicts
- Action items are clearly tracked and consistently followed up
