What’s the role?
The Team Assistant plays a key role in enabling the DDAI B&W team to perform at its best, by providing proactive coordination, organisation and day‑to‑day operational support. You will be a trusted partner behind the scenes, supporting 2-3 Heads, the wider team, and others as required, in this newly created and growing team. In this role, you’ll manage the diaries for 2-3 busy Heads, making sure every meeting and follow up is handled with care and attention to detail, often involving diary liaison at senior levels. You’ll assist with travel, expenses and events, from town halls to offsites. You will provide tailored support in a fast-moving environment and will also work closely with the GM Office with the Executive Assistant and Business Manager. 
 
Key Responsibilities include: 
  • Ensure smooth day to day running of leader’s day. 
  • Proactively manage diary for Heads of, including co-ordinating meeting setup, booking rooms and Teams details for invitees.
  • Update the team’s org chart, and distribution lists, ensuring these are accurately reflected in the People Directory.
  • Onboarding of new starters, and offboarding leavers ensuring systems are updated accurately.
  • Coordinate meetings and events effectively, ensuring people are prepared and informed.  
     
What do I need?
To be successful in this position you should have experience in a Team Assistant or Executive Assistant role and be a highly organised, detail orientated individual. You will be confidence in managing diaries and competing priorities and be an excellent communicator. 
 
Additional skills and experience required include: 
  • Experience working in a large and complex organisation 
  • Comfortable in digital skills across tools such as Word, PowerPoint, Excel and Teams 
  • Strong relationship building and stakeholder engagement 
  • You should be an adaptable individual who can adjust quickly in fast paced environments 
  • An understanding and prior use of AI (specifically Co-pilot) and how it can be utilised in day-to-day operations
  • Experience coordinating events or workshops is advantageous 
  • Familiarity with internal systems for travel, expenses or HR processes
