Responsibilities
~2 min read- →Partner with the CMO and senior leadership team: Manage a complex, fast-moving calendar across internal and external commitments and global time zones. Understand business priorities, protect time for focused work, build in preparation and transition time, and make sound scheduling tradeoffs as priorities shift.
- →Stay ahead while keeping the day on track: Maintain a rolling view of the coming weeks, including key meetings, campaign and launch milestones, external engagements, deadlines, and decisions needed. Identify conflicts and dependencies early, then keep immediate logistics and follow-through precise.
- →Prepare the executive for important moments: Coordinate meeting logistics and create concise briefs, agendas, presentations, and other materials. Capture decisions and commitments, track follow-ups, and make sure owners and next steps are clear.
- →Manage communications with judgment: Triage incoming requests, determine what can be handled independently, draft or coordinate responses, and elevate decisions with concise context and a recommended path forward. Represent the CMO with professionalism and discretion in interactions with employees, executives, agencies, creative partners, and other external stakeholders.
- →Support Marketing’s operating rhythm: Coordinate leadership and team meetings, planning sessions, offsites, and other gatherings. Organize agendas and pre-reads, capture actions and decisions, and maintain lightweight systems that make priorities, owners, and deadlines visible.
- →Coordinate high-priority Marketing work: Drive Marketing team efficiency by balancing strategic initiatives with day-to-day operational support. You’ll connect cross-functional partners, clear project blockers, and align the team on key campaign, event, and launch milestones—tackling everything from core workflows to planning and executing major team offsites.
- →Handle executive logistics end to end: Arrange domestic and international travel, accommodations, ground transportation, itineraries, and expense reporting. Anticipate changes and communicate updates quickly.
- →Improve how the office of the CMO works: Build trusted relationships, learn working preferences, clarify expectations, and establish repeatable communication and planning practices. Partner with the Administration team and suggest practical improvements as needs evolve.
- →Protect sensitive information: Handle confidential business, people, and marketing information with sound judgment and a high degree of discretion.
- You have 8+ years of experience providing executive-level support to a C-suite or senior executive, ideally in a fast-paced, high-growth environment. Experience supporting a Marketing, Brand, Communications, or other externally facing leader is a plus.
- You are exceptionally organized and precise, with a track record of managing complex calendars, travel, meetings, expenses, and competing priorities.
- You are proactive and forward-looking. You identify and anticipate what is coming, notice missing context or potential conflicts, and prepare early—while staying responsive to immediate needs.
- You create clarity when priorities or requests are ambiguous: you ask focused questions, confirm decisions and deadlines, communicate tradeoffs early, and use good judgment rather than relying on assumptions.
- You communicate clearly, directly, and diplomatically in writing and in conversation. You can synthesize information, keep stakeholders informed, and handle sensitive conversations with tact.
- You build strong working relationships through trust, discretion, emotional intelligence, and reliable follow-through. You are confident engaging with people at every level, including senior leaders and external partners.
- You are calm and adaptable when plans change, and can prioritize independently while escalating the right issues at the right time.
- You enjoy making teams more effective through lightweight processes, clear ownership, and thoughtful coordination—not process for its own sake.
- You're comfortable using Google Workspace, AI tools, and emerging technologies to streamline daily operations, improve efficiency, and build practical workflows or tools that enhance executive support while maintaining rigorous standards for data, confidentiality and integrity.
- You are willing and able to travel occasionally, domestically and internationally, to support executive meetings, team events, and offsites.
