About the Department: The mission of the General Counsel’s Office is to provide high-quality legal services in an ethical, timely, and efficient manner through effective engagement across departments. Our vision is to minimize university-wide legal and regulatory exposure, risk and compliance breaches through the consistent application of established procedures, awareness initiatives, and collaboration.
About the Role: This role supports the effective execution of the administrative functions necessary to achieve the Office's mission and vision.
Duties and Responsibilities
1. Compliance
- Perform administrative and clerical duties that are necessary for maintaining compliance with the university’s relevant regulatory agencies
- Coordinate duties with Compliance Officer, IT for efficiency and to avoid duplication
- Support the Assistant Director, Legal Services, to manage the Compliance Checklist
2. Contract Management
- Coordinate contract management with units through their single points of contact (Ambassadors)
3. Policies
- Assist the General Counsel to conduct information sessions on policies by providing coordination and logistical support (i.e. Designing flyers, drafting emails, preparing PowerPoint presentations, etc.)
- Track and follow up with policyholders to ensure that policies are up to date and accessible
Any other work related duties that may be assigned by the General Counsel from time to time.
Minimum Requirements
- Bachelor’s degree required. (An LLB degree will be an advantage)
- At least 2 years' experience in an administrative or similar role
- Excellent verbal, written and interpersonal communication skills, including the ability to elicit and communicate information and to prepare clear, informative, and concise materials.
- Ability to analyze, synthesize and summarize information.
- Ability to work in deadline-oriented environment and manage multiple projects simultaneously while adhering to prescribed deadlines.
- Advanced proficiency in using the Microsoft Office Software suite (i.e. MS Word, SharePoint, Excel, PowerPoint and Outlook).
