Description

St. John Henry Newman Parish is seeking a full-time Office Assistant.  The ideal candidate will have strong organizational ability, self-discipline and be a self-starter.  They should have a strong grasp of technology, including the ability to learn and manage the parish database.  Human Resources experience is desirable.  Compensation will be commensurate with experience and education and includes full benefits.  Minimum education requirement: high school diploma equivalency.

Works with data management, coordination of policies for facilities, data retention, and basic personnel practices. Will be a resource for other Parish Staff. Whereas the Receptionist is the welcoming face of the Parish, the Office Assistant coordinates and facilitates much of the behind the scenes administration on behalf of other ministerial positions. 

Duties include:

1. “Breeze” Data Management

2. Building and assisting with online forms, data analysis and interpretation, and spreadsheets

3. Writing, updating, and maintenance of Parish policies (about facilities, data retention, basic personnel practices, etc.)

4. Oversee general onboarding/orientation process for new staff or interns (supplemented by departmental processes)

5. Maintain administrative order, standardization, and process in front of the team, and taking on the projects/details to do this.

6. Manage Parking Lot permit sales

7. Manage Football Tailgate Parking 

8. Coordinate VIRTUS for the Parish

9. Maintenance of sacramental records

10. Coordinate the Genius of the Body quarterly series of talks

11. Assist with ordering/purchasing for building needs (i.e. from various building committees)

12. Maintain and monitor the Parish offertory envelope system

13. Oversee the Maintenance of MSP (Ministry Scheduler Pro for scheduling liturgical ministers) 

14. Help with event planning (e.g., Mardi Gras)

15. Assist with “Newman” Merchandise for Staff and students

16. Coordinate Priest/Religious Visits 

17. Do scheduling for Bible Study events in the Google Calendar

Typical schedule is M-F 8am-4:30pm with a half hour lunch break.
