**Job Summary:**
The Administrative Assistant (Dental) provides crucial administrative support to the Dental department in both our Buffalo and Niagara Falls offices. This role requires the ability to work independently and perform a variety of general clerical tasks. The ideal candidate will project a professional image through in-person and over-the-phone interactions while working 3 days in Niagara Falls and 2 days in Buffalo each week.
**Responsibilities:**
- Maintain confidentiality in all administrative tasks.
- Create and edit documents like reports, invoices, memos, and letters as directed by the Dental Director or management team.
- Perform general clerical duties including photocopying, scanning, faxing, mailings, and filing.
- Manage incoming calls and schedule appointments.
- Greet dental patients upon arrival.
- Utilize a computerized patient information system to register patients and conduct other clerical procedures.
- Validate patient eligibility via medical insurance websites.
- Follow up with patients who miss appointments and arrange for rescheduling when necessary.
- Assist in overseeing patient flow to ensure timely appointments and proper scheduling.
- Participate in Quality Improvement and Quality Assurance activities as needed.
- Interact with patients of diverse backgrounds and ages in a supportive and professional manner.
- Maintain regular attendance and attend mandatory staff meetings.
- Perform other relevant duties as delegated or requested.
- Ability to effectively work in high-pressure situations.
**Qualifications:**
- High School diploma.
- Minimum of one (1) year of experience in a healthcare office setting.
- Demonstrated independence, flexibility, personal integrity, and the ability to collaborate effectively with patients and colleagues.
- Proficiency in MS Office suite.
**Preferred Qualifications:**
- Associate degree.
- Two (2) years of experience in a dental office.
- Proficiency in MS Office suite.
- Experience with electronic medical records software.
**Physical Demands:**
This role involves periods of sitting, standing, walking, bending, and stooping. Evening work may be necessary.
**Hourly Range:**
$20.00/hr. - $21.00/hr.
