About the Role

~1 min read
  • Greet and assist employees, visitors, and callers; be the first friendly face (or voice) people encounter.
  • Handle office opening and closing procedures, while maintaining building security protocols.
  • Keep supplies stocked, including office materials, pantry, and beverage, through online orders and occasional store runs.
  • Keep shared spaces tidy and functional: reception, break rooms, kitchen, and conference rooms.
  • Coordinate logistics for team lunches, meetings, and vendor deliveries — including setup and cleanup.
  • Help plan and execute team events and office activities that bring people together.
  • Manage relationships with building vendors and maintenance contractors, from scheduling through project wrap-up.
  • Handle incoming mail, packages, and post office coordination.
  • Drive office operational planning and documentation — conference room bookings, shared desk scheduling, training coordination, etc. — and support the facilities budget.
  • Pitch in on data entry, ad hoc projects, and general operations support as needed.
  • Prior experience in office administration, coordination, or a similar role — candidates with less experience but a strong track record of initiative are encouraged to apply.
  • Self-starter who takes initiative and follows through without needing to be closely managed.
  • Ability to thrive in a dynamic environment where priorities shift and no two days look the same.
  • Strong organizational and communication skills; professional and personable with both internal teams and external vendors.
  • Reliable and detail-oriented — consistently follows through on commitments.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, MS Forms).
  • Comfortable with general technology and audio/visual setup; if a tool is unfamiliar, demonstrates the initiative to learn it independently.
