The Administrative Specialist will be responsible for overseeing the daily administrative operations of the Sweden office, while also managing the administrative budget, cost control, and risk management across all Nordic countries. This role ensures smooth office operations, compliance with company policies, and effective supplier management to support business continuity.

Responsibilities

·        Manage daily office operations to ensure a smooth and efficient workplace environment.

·        Maintain office supplies, liaise with suppliers, and handle shopping and ordering needs when necessary.

·        Ensure office premises and home offices are tidy, safe, and secure.

·        Undertake general administrative tasks as requested.

·        Interact with and manage supplier relationships to maximize value and service quality.

·        Negotiate and coordinate with vendors, service providers, and stakeholders for office-related needs.

·        Draft and implement administrative regulations and serve as a policy controller.

·        Support internal risk control measures and ensure compliance with company standards and guidelines.

·        Oversee and control administrative budgets for the Nordic countries, ensuring cost efficiency and transparency.

·        Monitor and report administrative expenses, identifying areas for optimization.

·        Organize and arrange internal and external meetings in coordination with stakeholders and service providers.

·        Provide general administrative support to colleagues and management as required.

Requirements

·        Bachelor’s degree in Business Administration, Management, or a related field is preferred.

·        3-5 years of proven experience in administrative or office management roles, ideally within an international environment.

·        Strong knowledge of budget management and risk control.

·        Excellent organizational, multitasking, and problem-solving skills.

·        Strong interpersonal and communication abilities.

·        Proficiency in Microsoft Office Suite and other office tools.

·        Fluency in English; knowledge of Swedish or another Nordic language is an advantage.
