FULL-TIME PERMANENT POSITION

Classification and Salary: AY3 $25.77-$30.18 per hour
Location : Swan River, MB
Reporting to the Supervisor of the designated department, the Administrative Assistant will provide professional administrative support services for various departments. This position will be responsible to manage multiple projects to completion; gathering, analyzing and formulating information necessary to maintain adequate and accurate sets of files, documents and records.
Education and Experience
- Grade 12 and completion of a recognized diploma or equivalent in administration
- Experience working with Metis and Inuit people.
- 1-3 years experience in an administrative role within a corporate environment
Duties and Responsibilities
- Provide professional administrative service to administrative team
- Provide professional customer service to general public
- Receive, screen, assess, transfer telephone calls and take messages
- Sort and distribute incoming and outgoing mail
- Order and maintain office supplies and forms
- Maintain, disburse and balance petty cash
- Assist Family Service Worker in closing and transferring of summaries as directed and processing of Child Care Instruction sheets (CCIS)
- Update CFSIS and Michif Kashkihtaaw (MK) database as needed
- Open, close and maintain administrative files
- Compose routine correspondence; use computer software e.g. E-mail, MS Word, Excel, Access…
- Type, process and transcribe reports, forms, correspondence, file recording, minutes, legal documents, etc.
- Direct and assign work to volunteers and students, on occasion
- When required, assist File Clerk and Executive Assistant on providing files processes and procedures.
- Maintain attendance records of employees; manage unit staff statistics (time sheets) & files; forward reports to Finance Coordinator for payroll processing and reporting
- Distribute notices of meetings, profiles and agendas and maintain records for Agency Committees
- Attend meetings (unit, clerical, staff) and act as Recording Secretary for Committee meetings
- Other duties as assigned
Prior to commencing employment the successful applicant will be asked to provide satisfactory results of a Criminal Record Check with Vulnerable Sector Search, a Child Abuse Registry Check, Prior Contact Check, proof of $2 million dollar insurance liability, and a Driver’s Abstract upon hire at their own expense. A valid Manitoba driver’s license and the use of a personal vehicle are requisites as travel is required.
