The Workplace Coordinator is responsible for the day-to-day coordination and management of the assigned office/site, ensuring a safe, compliant, efficient and welcoming workplace for employees, visitors and business stakeholders. Acting as the site-level point of contact for office services, building operations, vendors and local workplace governance, the role ensures consistent service delivery in line with regional workplace standards. The Workplace Coordinator also supports employee experience, space and headcount tracking, budget discipline, and workplace initiatives as required.

Responsibilities

  • Coordinate reception/visitor services
  • Oversee delivery of internal food programme
  • Support planning & deliver events
  • Manage on-site shipping & receiving services
  • Support a seamless and efficient employee experience
  • Maintain strong relationships with key business stakeholders
  • Conduct regular site inspections, record and action findings
  • Oversee janitorial services
  • Coordinate repairs & maintenance
  • Coordinate site security
  • Support compliance with Environmental Health & Safety requirements
  • Coordinate workplace vendors and service providers
  • Maintain effective relationship with landlord and other relevant local organisations
  • Maintain floor plans up to date
  • Track headcount and conduct space audits
  • Manage the allocated operating expenditure (OPEX) budget
  • Support the department strategy
  • Ensure site-level workplace governance and compliance
  • Support various WP programmes and initiatives, including sourcing, sustainability, Ergonomics, digital adoption, newsletters, and BCP.
  • Support Project Management activities as assigned
  • Coordinate the allocated capital expenditure (CAPEX) budget as assigned
  • Previous experience in an Office Coordinator, Workplace Coordinator, Facilities Coordinator, Hospitality Coordinator, Office Manager or similar site operations role.
  • Experience coordinating day-to-day office services and building operations in a corporate, hospitality or multi-service environment.
  • Experience working with third-party vendors and service providers, ideally across reception, cleaning, catering, security, maintenance or related services.
  • Experience supporting health and safety compliance, site inspections, audits and operational governance.
  • Experience supporting or managing workplace budgets, invoices, procurement processes and landlord/building management relationships.
  • Experience supporting employee experience initiatives, office events, moves/changes, workplace projects or local improvement programmes.
  • Experience coordinating in-house or outsourced teams is an advantage.
  • Good understanding of office management, workplace operations, facilities services and employee experience.
  • Working knowledge of health and safety, security, maintenance, janitorial, reception, food services and vendor coordination.
  • Strong customer service mindset with the ability to build effective relationships with employees, business stakeholders, landlords and service providers.
  • Good organisation, prioritisation and problem-solving skills, with strong attention to detail.
  • Budget awareness, with the ability to manage or support OPEX/CAPEX tracking, purchase orders, invoicing and vendor performance.
  • Clear communicator, able to coordinate multiple activities and stakeholders in a busy site environment.
  • Proficient in Microsoft Office and workplace reporting tools; experience with floor plans, space data or headcount tracking is an advantage.
  • Relevant education or equivalent practical experience in workplace, facilities, hospitality, business administration or a related field.
