The Department of Physics is seeking a highly skilled and proactive Personal Assistant to support a distinguished Professor and his research group in all aspects of academic, research, and public engagements. The appointee will be responsible for a wide spectrum of administrative work, including but not limited to providing comprehensive administrative support such as managing complex calendars, travel arrangements, and correspondence; organizing events, meetings, conferences, lectures, and special events; arranging schedules for visitors and coordinating logistics for academic and public engagements; liaising with university departments and external collaborators on behalf of the Professor; purchasing consumables, handling reimbursements, and managing procurement processes as required; and assisting with grant applications, research proposals, and progress reporting. The appointee will also perform any other duties as assigned.

 

Requirements

  • A Bachelor’s degree or above with at least 10 years’ relevant work experience in administration
  • Excellent command of both spoken and written English and Chinese (including Cantonese and Putonghua)
  • Strong interpersonal, organizational, problem-solving, and communication skills
  • Ability to prioritize multiple tasks in an efficient manner
  • Mature, meticulous, and self-motivated with the ability to work independently and attentive to details even under pressure
  • A high level of computer literacy/IT skills
  • Experience in a University setting is a plus but not mandatory
  • Experience in supporting senior academic or scientific leaders
  • Familiarity with research administration and grant processes
  • Knowledge of university operations and international collaborations

 

What We Offer

The appointment will be made on fixed-term full-time contract for 2 years, to commence as soon as possible with the possibility of renewal subject to satisfactory performance.  A highly competitive salary commensurate with qualifications and experience will be offered, together with contract-end gratuity and University contribution to a retirement benefits scheme at 10% of basic salary.
