About the Role: 

We are looking for a high-agency, "figure-it-out" Executive Assistant to serve as the primary engine for the founder’s personal and operational logistics. This isn’t just a scheduling role; it is a "get things done" role. You will own tasks end-to-end, navigating the friction of travel, vendors, and logistics so the founder doesn’t have to.

The ideal candidate enjoys the challenge of a complex itinerary, doesn’t take "no" for an answer from customer support, and prides themselves on delivering decision-ready shortlists rather than open-ended questions.

 

Key Responsibilities

  • Travel Management: Plan and manage personal travel end-to-end (flights, lodging, ground transport, itineraries). Handle changes, cancellations, and support escalations in real-time.
  • Logistics & Problem Solving: Own shipping and delivery issues (UPS/FedEx) and manage returns or exchanges until they are fully resolved.
  • Vendor Coordination: Source service providers, collect quotes, schedule, and follow up relentlessly to ensure completion.
  • Research & Recommendations: Research products, services, or lifestyle providers and deliver ranked shortlists with a clear "best-path" recommendation.
  • Founder & Business Support: Support light business tasks like sourcing influencer lists, researching new tools, or reviewing hiring spreadsheets to flag top candidates.
  • Operational Clarity: Manage scheduling and maintain a simple task tracker (Notion/Sheets/Asana) with clear next actions.
  • Communication: Draft concise messages for outreach and follow-ups while maintaining strict confidentiality.
