Duties and Responsibilities:
We need a Swiss Army knife type of hire, high level Executive Assistant—someone adaptable, resourceful, and capable of handling multiple business functions. This role will start as a generalist position, supporting different areas of the business, but will evolve into a more specialized and leadership-driven role as we grow. This role will also serve as my Personal Executive Assistant.
- Manage and optimize production and fulfillment workflows while overseeing executive calendar scheduling, ensuring deadlines and commitments are efficiently prioritized.
- Serve as a trusted personal EA to the executive, providing high-level support by managing personal schedules, task lists, travel arrangements, and personal bookings.
- Act as the primary point of contact for vendor coordination and order tracking while organizing travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
- Analyze operational bottlenecks, identify key improvement areas, and implement data-driven solutions while tracking project tasks and ensuring timely execution.
- Develop and refine scalable systems and Standard Operating Procedures (SOPs) to enhance efficiency and support both operational and administrative success.
- Assist internal teams to address process inefficiencies, coordinate meetings, prepare agendas, and capture action points for follow-up.
Minimum Requirements:
- Relevant Executive Assistant/Virtual Assistant experience with exposure to driving operations and implementing company processes and procedures is highly desirable
- Familiarity with Google Workspace, Quickbooks, Canva, Shopify is nice to have
- Fluent English (both written and spoken)
- Strong organizational and problem-solving skills
- Ability to work independently and take initiative
- Experience with custom apparel, Greek Life organizations, or production workflows is a big plus
- Familiarity with order fulfillment, logistics, or supply chain management is a bonus
