Our client is a U.S.-based investment firm focused on building long-term value through strategic investments and partnerships.

The company operates in a fast-paced, high-accountability environment where speed, judgment, intellectual curiosity, and strong relationships are highly valued.

This is an opportunity to work directly with the CEO in a role that combines executive support, communication management, scheduling, project coordination, and ad hoc strategic work.

The Executive Assistant to the CEO will serve as a highly trusted extension of the CEO, helping manage the day-to-day flow of information, priorities, communications, and logistics.

This is not a traditional administrative role. The successful candidate will need to be exceptionally detail-oriented, intellectually sharp, proactive, and capable of understanding context quickly without requiring extensive explanation or hand-holding.

The CEO moves quickly and will regularly delegate projects that require independent thinking, research, organization, follow-through, and sound judgment.

The ideal candidate will have a demonstrated track record of success and the ability to operate with a high degree of ownership and discretion.

Responsibilities

  • Review, organize, and triage the CEO's incoming email.
  • Identify priorities, urgent matters, follow-ups, and items requiring the CEO's attention.
  • Draft professional email responses and correspondence on the CEO's behalf.
  • Maintain clear follow-up systems to ensure important items do not fall through the cracks.
  • Prepare the CEO for upcoming meetings, commitments, and priorities.
  • Handle sensitive and confidential information with discretion.
  • Own and maintain the CEO's calendar.
  • Schedule internal and external meetings across multiple time zones.
  • Resolve scheduling conflicts and proactively identify potential issues.
  • Ensure the CEO has appropriate preparation time between meetings and commitments.
  • Coordinate meeting logistics, invitations, agendas, and relevant materials.
  • Coordinate domestic and international travel arrangements.
  • Research and organize flights, accommodations, transportation, and itineraries.
  • Maintain accurate travel schedules and supporting information.
  • Anticipate logistical issues and resolve them proactively.
  • Ensure travel plans are organized clearly and efficiently.
  • Take ownership of ad hoc projects delegated by the CEO.
  • Conduct research, gather information, organize findings, and prepare summaries when required.
  • Coordinate projects across internal and external stakeholders.
  • Track deadlines, action items, and deliverables.
  • Follow through independently until projects are completed.
  • Build and improve systems that make the CEO's workflow more efficient.
  • Assist with presentations, documents, spreadsheets, and other business materials as needed.
  • Communicate professionally with executives, investors, partners, vendors, and other stakeholders.
  • Represent the CEO professionally in written communications.
  • Maintain strong working relationships with internal and external contacts.
  • Exercise sound judgment regarding when to handle matters independently and when to escalate.
  • 3+ years of experience as an Executive Assistant, Executive Business Partner, Senior Administrative Assistant, Chief of Staff Assistant, or similar high-level support role.
  • Demonstrated experience supporting a CEO, founder, executive, investor, or senior leader.
  • Exceptional written English, including the ability to draft polished professional correspondence.
  • Strong email management and calendar management experience.
  • Experience coordinating complex schedules across multiple time zones.
  • Strong travel coordination experience.
  • Excellent Microsoft Office and/or Google Workspace skills.
  • Strong research, documentation, and project coordination abilities.
  • Demonstrated ability to manage confidential and sensitive information.
  • Strong proficiency with productivity and collaboration tools.
  • Ability to quickly learn new systems and workflows.

The ideal candidate is a high-performing, intellectually curious Executive Assistant who thrives when operating at a fast pace and supporting a demanding executive.

They should be comfortable receiving an objective rather than a detailed set of instructions and figuring out the best way to accomplish it.

This person should have a history of success and achievement, whether demonstrated through career progression, increasing responsibility, academic performance, measurable accomplishments, or other evidence of high performance.
