Job description:
We are seeking a highly organized, proactive, and polished Investor Relations & Executive Assistant to support a mortgage investment business focused on attracting new investors and managing inbound interest from podcast and outreach initiatives.
This is a front-facing, high-trust support role that combines investor follow-up, appointment setting, phone coverage, inbox management, and executive assistance. The ideal candidate will help streamline communication, manage day-to-day administrative tasks, and ensure potential investors receive timely, professional, and engaging follow-up.
Key Responsibilities
Investor Outreach & Lead Follow-Up
- Follow up with leads generated through podcast interviews and related outreach efforts
- Assist with prospect nurturing and lead qualification
- Help identify, organize, and prioritize potential investors
- Support outreach on LinkedIn and other relevant channels
- Coordinate pre-interview or pre-meeting communication
- Ensure prospects are prepared with the appropriate information prior to calls or interviews
- Track lead status, next steps, and follow-up timing
Appointment Setting & Scheduling
- Book meetings and confirm appointments
- Manage scheduling logistics for investor calls, interviews, and follow-up conversations
- Maintain an accurate and organized calendar
- Resolve scheduling conflicts and ensure timely communication around meetings
Phone Support
- Answer incoming calls in a professional, warm, and confident manner
- Screen calls and route urgent matters appropriately
- Take messages and provide basic information using approved scripts or templates
- Represent the business professionally in all phone interactions
- Handle calls from investors, borrowers, podcast contacts, and other business stakeholders
Email Management
- Monitor and manage inbox communication
- Respond to routine inquiries using approved language and guidance
- Handle basic questions, scheduling, and follow-up emails
- Escalate sensitive, complex, or high-value items to the business owner
- Maintain a polished, professional tone in all correspondence
- Support the owner by keeping email communication organized and efficient
Executive & Administrative Support
- Assist with general business operations and task management
- Help reduce the owner’s daily administrative burden
- Organize notes, contacts, and communication history
- Support recurring administrative tasks as needed
- Help maintain a smooth workflow across communication channels
Ideal Role profile:
- Ideally a woman with a softer client-facing communication style (However a male is acceptable if qualified)
- Strong English, low-accent, highly professional phone presence (This is a MUST, with no exception)
- 3–5 years of experience (Must know how to do this job and have held this position previously.)
- Real estate or mortgage background strongly preferred
- Warm, polished, and professional
- Reliable and responsive
- A strong communicator
- Comfortable speaking with investors and high-level contacts
- Organized enough to manage multiple moving pieces
- Able to follow a process, but also think ahead and anticipate needs
- Trustworthy and capable of working with minimal supervision
Success looks like:
- Client gets more investor conversations without doing all the outreach himself
- The assistant handles routine communication and scheduling
- Client can focus on closing loans and managing key investor relationships
