About the Role:
As our Operations & Administrative Coordinator, you will be instrumental in establishing and managing a new core function of the business. This is an evolving role designed for a proactive self-starter who is comfortable with ambiguity. You will work directly with leadership—including the President and Manager—to bring structure, organization, and execution to our day-to-day operations.
Responsibilities
~1 min read- →Claims Processing & Administration: Review, process, and track incoming claims accurately while ensuring all required documentation is received, verified, and updated within internal systems.
- →Operational Support: Execute daily administrative, claims-related, and operational tasks to ensure smooth business continuity and timely claims resolution.
- →Claims Coordination: Liaise with clients, internal departments, vendors, and external stakeholders to resolve claim queries, obtain supporting information, and provide status updates.
- →Process Development: Assist in defining, refining, and documenting claims workflows, operational procedures, and standard operating procedures (SOPs) to improve efficiency and compliance.
- →Case Management: Maintain organized digital records, monitor claim progress, follow up on outstanding items, and ensure deadlines and SLAs are consistently met.
- →Communication Management: Handle claims-related correspondence, internal communications, and escalations professionally and efficiently.
- →Reporting & Data Accuracy: Ensure accurate data entry, reconciliation, and reporting across claims systems while maintaining a high level of attention to detail.
- →Project Assistance: Support ad hoc operational initiatives, process improvement projects, and system updates as the business scales.
- →Compliance & Quality Control: Ensure claims are processed in line with company policies, regulatory requirements, and internal quality standards.
- →Ownership: Take full accountability for assigned claims and operational tasks with minimal oversight, adapting quickly to shifting priorities and business needs.
Requirements
