About the Role

We are hiring a Senior Executive Assistant to serve as a strategic partner to a founder and leadership team in a fast-moving, growth-focused business environment.

This is not a traditional administrative assistant role.

The ideal candidate operates closer to a Chief of Staff–style partner — someone who can take ownership of projects, design systems, automate workflows, and drive initiatives to completion without constant direction.

You will work directly with leadership to build operational leverage, automate repetitive tasks, and ensure strategic projects move forward efficiently.

This role is ideal for someone who enjoys solving operational problems, improving processes, and implementing systems that scale businesses.


The Senior Executive Assistant will help transform ideas into execution.

You will take loosely defined initiatives from leadership and build the systems, workflows, and automation necessary to execute them efficiently.

Rather than simply managing tasks, you will actively work to eliminate manual work through systems and automation, enabling the business to move faster and operate more effectively.

This role requires someone who is highly proactive, operationally minded, and comfortable owning projects end-to-end.


Responsibilities

  • Act as a strategic partner to the executive, helping translate high-level ideas into structured projects and workflows
     
  • Drive initiatives from concept through execution, ensuring deadlines and outcomes are achieved
     
  • Manage cross-functional projects and ensure alignment across internal stakeholders
     
  • Help prioritize leadership’s time and focus on high-impact initiatives

  • Design and implement go-to-market workflows and operational systems
     
  • Identify repetitive tasks and automate them using modern tools and integrations
     
  • Build scalable systems for lead generation, outreach, and audience engagement
     
  • Implement automation tools such as:
     
    • PhantomBuster
       
    • Zapier / Make / n8n
       
    • CRM systems
       
    • AI workflow tools

  • Build automated systems to capture, organize, and engage with inbound and outbound audiences
     
  • Create structured outreach pipelines and automation flows
     
  • Maintain CRM and lead tracking systems
     
  • Improve engagement processes through data and experimentation

  • Own internal project management systems (Asana, Trello, ClickUp, Notion, etc.)
     
  • Ensure projects move forward and blockers are resolved quickly
     
  • Track execution across multiple initiatives simultaneously
     
  • Provide regular updates to leadership on project progress

  • Identify operational inefficiencies and implement improvements
     
  • Build documentation and playbooks for repeatable processes
     
  • Implement systems that enable the team to scale efficiently
     
  • Continuously improve workflows across the organization

The ideal candidate is a builder, systems thinker, and problem solver.

You enjoy taking messy problems and turning them into clean systems and repeatable processes.

You actively look for ways to automate yourself out of repetitive tasks, freeing time to focus on higher-impact work.


  • 5+ years of experience as a Senior Executive Assistant, Chief of Staff, or Operations Manager
     
  • Proven experience supporting founders, CEOs, or senior leadership teams
     
  • Strong project management experience
     
  • Experience designing and improving operational systems
     
  • Experience working in fast-moving startup or high-growth environments
     
  • Excellent written and verbal English communication

Candidates should have strong familiarity with modern productivity and automation tools, such as:

  • Project management platforms (Asana, Trello, ClickUp, Monday)
     
  • CRM systems (HubSpot, Salesforce, Pipedrive, etc.)
     
  • Workflow automation tools (Zapier, Make, PhantomBuster, n8n)
     
  • AI productivity tools
     
  • Google Workspace / Notion
     
  • Data organization and reporting tools

  • Highly proactive and self-directed
     
  • Strategic thinker who can execute independently
     
  • Systems-oriented with strong operational instincts
     
  • Extremely organized and detail-oriented
     
  • Comfortable working with ambiguity and evolving priorities
     
  • Strong ownership mentality — projects don’t fall through the cracks

This role offers the opportunity to operate far beyond traditional EA responsibilities.

You will work closely with leadership to design systems, automate workflows, and help scale the business operationally.

For the right candidate, this position functions as a hybrid between Senior Executive Assistant, Operations Manager, and Chief of Staff.
