Administrative Assistant - Transportation

The Administrative Assistant is responsible for various administrative duties to support the department.
- Prepare and organize driver documentation, including trip packets, route sheets, load information, and onboarding paperwork.
- Support daily driver operations by assisting with check-in/check-out processes and communicating route changes, delays, and operational updates.
- Track route departures, gate times, delivery status, and service disruptions to ensure timely communication with stores, drivers, and management.
- Serve as a liaison between drivers, dispatch, warehouse personnel, stores, supervisors, and management to facilitate effective communication and problem resolution.
- Monitor and maintain safety and compliance records, including incidents, accidents, corrective actions, and audit documentation.
- Coordinate safety-related activities, including meeting preparation, attendance tracking, sign-in sheets, training materials, and unload pay administration.
- Maintain and update operational reports and spreadsheets related to on-time delivery, driver performance, attendance, call-outs, ISSAC/Lytx events, and payroll-related data.
- Track fleet and equipment status by monitoring DVIR defects, preventive maintenance schedules, out-of-service equipment, and trailer/tractor availability.
- Assist with workforce coordination activities, including scheduling support, coverage planning, driver engagement initiatives, meetings, competitions, and new driver onboarding.
- Perform other duties as assigned
- Microsoft Office proficiency
- High School diploma or equivalency
- 1-2 years of experience in the Trucking/Transportation industry preferred
- Minimum 1-2 years of administrative experience
- Strong general office and organizational skills
