We’re looking for an exceptionally sharp, organized, and proactive Executive Assistant to CEO to provide administrative support to our CEO as part of a collaborative executive support team. Working closely with the Sr. Executive Assistant and other team members, this role is focused on ensuring the Office of the CEO runs smoothly and efficiently. • Provide day-to-day administrative support, including calendar management, scheduling meetings, coordinating requests, and managing competing priorities
  • Prepare daily agendas, meeting materials, presentations, and other documents to support the CEO and executive team
  • Coordinate meetings, events, business meals, and reservations, ensuring all logistics are handled accurately and efficiently
  • Communicate professionally with internal and external stakeholders, including senior executives, high-net-worth individuals, and donors, while maintaining strict confidentiality and discretion
  • Coordinate business travel arrangements, including transportation, accommodations, and detailed itineraries
  • Assist with special projects and company events, providing administrative and logistical support as needed
  • Track outstanding requests, follow up on action items, and ensure deadlines and commitments are met
  • Anticipate needs, proactively identify potential challenges, and resolve administrative or scheduling issues efficiently

Successful Candidates Will Possess:

  • 5+ years of experience providing executive-level administrative support, preferably to C-suite executives in fast-paced environments
  • Exceptional written and verbal communication skills with meticulous attention to detail
  • Highly organized, with the ability to manage multiple competing priorities, meet deadlines, and consistently follow through
  • Proactive self-starter who anticipates needs, takes initiative, and works independently with minimal supervision
  • Strong critical-thinking and problem-solving skills, with sound judgment and a high level of discretion
  • Adaptable, resourceful, and resilient, with the ability to remain composed under pressure and adjust quickly to changing priorities
  • Proficient in Google Workspace, including Gmail, Calendar, Docs, and Sheets
  • Collaborative team player who builds strong relationships and communicates effectively with individuals at all levels, including senior leadership
  • Willingness to handle both routine administrative tasks and complex assignments with equal attention to detail, professionalism, and a team-first attitude
  • Service-oriented mindset with a strong sense of urgency and willingness to support the needs of a demanding executive office
  • Flexibility to work occasional evenings and weekends as business needs require.
  • Willing and able to travel approximately 4–6 times per year
