We are seeking a Bilingual Document & Client Correspondence Specialist to join our team in Mexico City. In this role, you will be the backbone of our administrative operations, ensuring that international corporate and legal documents (with a heavy focus on US government agencies like USCIS) are seamlessly processed, digitized, and delivered to our clients on time.

Key Responsibilities:

  • Document Control & Management: Receive, sort, batch, and scan high volumes of incoming official mail and corporate correspondence.
  • Client Communication: Contact international clients via phone to inform them of received high-importance documents (e.g., Work Permits, Green Cards) and confirm their preferred shipping logistics.
  • CRM & Data Entry: Accurately record phone interactions, case status updates, and document tracking details using our internal CRM software (Litify/Salesforce).
  • Quality Assurance: Maintain strict document integrity, organization, and compliance across physical and digital file systems.
  • Shipping Logistics: Create shipping labels and coordinate reliable outgoing mail/courier services to ensure error-free deliveries.

Qualifications & Requirements:

  • Experience: 2–4 years of experience in administrative roles, document control, customer service, or as a legal/operations assistant.
  • Languages: 100% Bilingual (English & Spanish). Must be able to hold fluent phone conversations with global clients and easily comprehend US legal/governmental documentation.
  • Technical Skills: High proficiency in document management systems, scanners, Microsoft Office/Spreadsheets, and CRM tools.
  • Core Competencies: Extreme attention to detail (spotting errors or compliance gaps), impeccable organizational skills, and strong verbal communication.
