About the Role:
We are looking for a proactive, highly forward-thinking Executive Assistant to partner closely with leadership and optimize daily operations, market insight generation, and key physician relationships. As the Executive Assistant (EA), you will act as a force multiplier for our leadership team. This is not just a traditional scheduling role; you will leverage modern tools (including cutting-edge AI software) to perform targeted market research, manage complex professional tracking systems, and lead outreach campaigns to physicians and healthcare stakeholders across Canada and beyond.
Responsibilities
~2 min read- →Market Research & Analysis: Conduct regular market assessments and research on cardiology trends, telehealth landscapes, and regional clinician needs to support strategic decision-making.
- →Physician & Stakeholder Outreach: Initiate, track, and nurture relationships with primary care physicians, specialists, and clinical partners through highly professional communication channels.
- →Daily Planning & Execution: Protect the leadership team’s time by proactively managing calendars, filtering communications, and strategically structuring daily itineraries.
- →Team Task Tracking & Project Management: Hold cross-functional internal teams accountable by managing progress, tracking action items, and ensuring milestones are met on time.
- →High-Impact Meeting Support: Coordinate logistics, prepare agendas, and attend leadership meetings to capture concise, actionable minutes and manage critical follow-up items.
Requirements & Qualifications:
- →Proactive & Solutions-Oriented: A strict "think outside the box" mentality with a strong internal drive to anticipate organizational obstacles before they arise.
- →AI Tool Proficiency: High comfort level with integrating modern AI tools (e.g., ChatGPT, Claude, automated scraping tools, or modern CRM automations) to maximize efficiency in workflow automation and content drafting.
- →Software Mastery: Expert-level proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and modern project management software
- →Communication Excellence: Exceptional written and verbal communication skills, with a polished, professional demeanor capable of engaging directly with medical doctors and healthcare executives.
- →Experience: 2–5 years of experience in an EA or Operations Support role, preferably within healthcare, medical tech, or a rapidly expanding corporate environment.
