As the Executive Assistant/Chief of Staff, you will play a key role in streamlining our operations and managing important projects. You will assist the client by taking on responsibilities related to project management, IT support, HR tasks, and patient satisfaction initiatives. The role will also include personal assistance to help the client with occasional travel and personal tasks, such as coordinating home repairs or planning special events.

Oversee HR functions, including hiring and onboarding.

Manage IT support tasks and resolve issues when necessary.

Address patient satisfaction concerns and provide solutions.

Lead and manage various projects across different departments.

Ensure tasks are being completed on time with minimal oversight.

Follow up on project milestones and deliverables.

Provide administrative support to the CEO, including scheduling, organizing travel, and handling personal tasks.

Assist with coordination of home repairs, planning special occasions, and other personal errands.

Use Excel to track and analyze key operational data.

Create reports and insights to assist with decision-making.
Requirements

Healthcare/Medical Practice Experience: Previous experience in managing operations within a healthcare setting (preferably US-based).

Project Management Skills: Ability to manage projects with minimal supervision.

Excel Proficiency: Strong analytical skills and experience with Excel.

Critical Thinking & Problem-Solving: Comfort with ambiguity and a bias for action.

Organizational Skills: Excellent organizational abilities to juggle multiple tasks and responsibilities.

Dual Role Comfort: Ability to handle both personal and professional tasks efficiently.

6+ years of experience as an Executive Assistant, Chief of Staff, or similar role in a healthcare environment.

Strong ability to manage operations, projects, and support leadership.

Excellent communication skills with the ability to work independently.

Detail-oriented, proactive, and able to handle a variety of tasks simultaneously.

Experience with US medical practices is preferred, but not mandatory.
