Duties and Responsibilities:
We are seeking a highly organized and proactive Executive Assistant to support the Founder/CEO in both administrative and operational capacities. This role goes beyond traditional calendar management — you will act as a strategic partner, helping manage priorities, streamline workflows, and support day-to-day logistics operations.
Key Responsibilities:
Executive Support & Calendar Management
- Manage and optimize the CEO’s calendar, scheduling meetings and appointments
- Coordinate across internal teams, clients, and external partners
- Ensure efficient use of executive time and proactive scheduling
- Prepare agendas and ensure readiness for key meetings
Communication & Inbox Management
- Manage and organize executive email inbox
- Draft, review, and send communications on behalf of leadership
- Ensure timely responses and follow-ups
- Act as a professional point of contact for internal and external stakeholders
Operations & Logistics Coordination
- Assist with coordination of shipments, schedules, and operational workflows
- Support communication between drivers, vendors, and internal teams
- Track tasks, timelines, and deliverables related to logistics operations
- Help ensure deadlines and service expectations are consistently met
Administrative & Data Management
- Maintain accurate records, reports, and documentation
- Assist with data entry, tracking, and reporting (shipments, invoices, etc.)
- Organize and manage files across systems and platforms
- Support invoicing and basic financial tracking tasks
Task & Priority Management
- Track ongoing priorities and ensure tasks are completed on time
- Assist in organizing daily, weekly, and long-term initiatives
- Identify bottlenecks and proactively resolve issues
- Help streamline processes to improve efficiency
General Executive & Team Support
- Provide ongoing administrative support across the business
- Assist with special projects and ad hoc tasks
- Support internal coordination between departments
Minimum Qualifications:
Language requirement: Excellent written and verbal English communication skills.
Education: Bachelors Degree is advantageous
- 2-4 years of experience as an Executive Assistant or in a similar role
- Must have experience in logistics, transportation, or supply chain industries
- Familiarity with CRM or task management tools (e.g., Asana, Trello) required
- Experience supporting senior leadership in fast-paced environments
- Strong organizational and multitasking abilities
- High attention to detail and accuracy
- Ability to manage multiple priorities with minimal supervision
- Strong problem-solving skills and proactive mindset
- Proficiency in Microsoft Office (Outlook, Excel, Word) and Google Workspace (Docs, Sheets, Drive, Calendar)
- Comfortable learning new systems quickly
